How to Send Player Evaluations

Note: Player Evaluations are NOT visible to the parents and athlete until they are sent; prior to being sent, they will be saved and ONLY visible to the Coach/Director of that brand.

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Communication > Create Message.

  3. Select Brand and click Next.

  4. Message Type: Select Transactional Email and click Next.

  5. Recipients: Select Athletes and Parents and click Next.
    Note: Click Skip to Compose to jump straight to the compose page without any recipients.

  6. Narrow Down Your List: Select Player Evaluations and click Next.

  7. Add Recipients From Program(s): Enter Program and click Next.

    1. Select Division and click Next.

    2. Accepted: Select the checkbox next to Roster Spot Accepted or Auto-Placed and click Next.

    3. Select Team and click Next.

  8. Player Evaluations: Select Evaluation Created On or After or Evaluation Created Before from the dropdown menu.

    1. Evaluation Created On or After: Select this option to send evaluations created on or after the selected date.

      1. Enter date the Player Evaluation was setup.

      2. Select All From Created Event, Evaluations Not Sent, or Evaluations Already Sent from the dropdown menu and click Next.

        1. All From Created Event: Select to send all evaluations created on or after the selected date regardless of if they have already been sent or not.

        2. Evaluations Not Sent: Select to send all evaluations created on or after the selected date that have not been sent.

        3. Evaluations Already Sent: Select to send all evaluations created on or after the selected date that have been sent.

    2. Evaluation Created Before: Select this option to send evaluations created before the selected date.

      1. Enter date the Player Evaluation was setup.

      2. Select Evaluations Not Sent from the dropdown menu and click Next.

  9. Skip Recipient List Preview: Select the checkbox next to No and click Next.

Note: If you chose to yes, you will be skip to compose.

  1. Remove Recipients From Program(s): Select the checkbox next to No and click Next.

Note: Players on the team without an evaluation will not be on this list.

  1. Preview List: Review and confirm recipient list and click Next.

  2. Templates: Select Blank and click Next.

Note: A template with a standard header would also work.

  1. Subject: Evaluation for [[ATHLETE_FIRST_NAME]]
    Note: use Insert Data Tokens link on the left of the Email and Club App Message section.

  2. Message: Use Insert Data Tokens and a variation of the following text:

    1. The evaluation prefills the message body. Insert just [[PLAYER_EVALUATION]].
      Note: If your email filters need to be updated, select one of the filters from the dashboard to return to that page and edit your filter. After editing the filters, click Skip to Compose to return to the compose page without having to confirm every selected email filter.

  3. Send Test Email to your email address (strongly recommended) and click Next.

  4. Preview Email: One final review of the message in addition to the test email.

  5. Once confirmed, select either Send Messages or Save For Later.

    1. If selecting Send Messages, a confirmation pop-up will appear.

      1. Click Yes to send.

      2. Click No to further edit.

    2. Once sent, a Confirmation screen will appear with the number of Profiles, Emails and Texts sent.

    3. Note: once the message is sent, the Player Evaluation will be visible to the athlete

    4. Note: if selecting Save For Later, the Player Evaluation will NOT be visible to the athlete.
