For use when selling hotel room reservations as a travel agency.

Creating Inventory

  1. Log in as an administrator and go to Orders > Shop Items & Discounts
  2. Create a new item. In the future, you will select existing items from this page.
  3. After creating the item, scroll down to the Lodging section and select List as Lodging
    1. You will see a number of new options show up. It is recommended that you complete all of them as leaving fields blank may result in unwanted behaviors later. Required fields should be highlighted, you must complete these fields.
  4. Within the Inventory section of Lodging select the Add Inventory button and fill in at least the Date and Inventory fields. The Access Code and Notes fields are optional. The Notes field is only visible to administrators.


Changes and Reporting

You may adjust inventory at any time, however, you will never be allowed to reduce the inventory to below the number sold. Clients will be able to book online any available inventory until the Reservations Due time. The Check-In and Check-Out fields are used as default selections for the user, but they may book any available inventory for the room regardless of those dates.

When the commission is calculated, the rebate amount is subtracted from the cost before it is multiplied by the commission percent.

Clients will not be able to find or book rooms for items that do not have a place selected. Because the choice of places is from the Google Places API, it is remotely possible that a location will be so new, or obscure, that it does not appear, but this should be extremely rare.



Client Inventory

Inventory is enforced for clients adding lodging to their cart on the main page of the cart. Thus, though it is possible for a single or multiple clients to add more lodging than is available to their cart, unless they are making payments at almost the exact same time, the latter client should see a note explaining that applicable lodging was removed from their cart due to lack of inventory on the main page of the cart.

Occupancy Reports

  1. From the Shop Item page, select Occupancy Report
  2. You will be looking at the bookings for the item you were just looking at
    1. To view a list of occupancies, select View All Lodging from the right side of the page

Confirmation Numbers

  1. From the Shop Item page, select Occupancy Report
  2. Enter each confirmation number and the press Save Confirmation Numbers
    1. Changed confirmation numbers will trigger an email to the billing email on the order that includes their confirmation number

Client Change/Cancellation Requests

  1. Clients may request changes from yourdomain.com/site/lodging/change.aspx which will trigger an email to the same address the order receipts go to.
